Senior Event Manager

Job Description:
The Event Manager is responsible for the overall planning, organization, and execution of the Africa International Housing Show (AIHS) and related events. This role requires a highly organized, detail-oriented, and proactive individual with excellent communication, negotiation, and problem-solving skills. The Event Manager must be based in Abuja and will oversee all logistical aspects, vendor management, stakeholder coordination, and on-site event delivery to ensure a successful and impactful event that meets the objectives and global standard of AIHS.
Responsibilities
- Develop comprehensive event plans, timelines, and budgets for AIHS and related activities.
- Contribute to the development of event themes, formats, and program content in collaboration with relevant stakeholders.
- Conduct thorough research on industry trends, competitor events, and potential speakers/exhibitors.
- Identify and secure suitable sponsors and exhibitors as well as venues, negotiate contracts, and manage venue relationships.
- Develop and manage floor plans, booth layouts, and signage.
- Plan and coordinate all logistical requirements, including catering, audiovisual equipment, security, transportation, and accommodation.
- Serve as the primary point of contact for exhibitors, sponsors, speakers, attendees, and other stakeholders.
- Build and maintain strong relationships with key partners, government agencies, industry associations, and media representatives.
- Coordinate the registration process for exhibitors, sponsors, and attendees.
- Manage exhibitor and sponsor relationships, ensuring their needs are met and deliverables are fulfilled.
- Liaise with speakers regarding their presentations, travel arrangements, and logistical requirements.
- Identify, evaluate, and select event vendors (e.g., caterers, AV suppliers, decorators, security personnel).
- Negotiate contracts and manage vendor relationships to ensure high-quality services within budget.
- Oversee vendor performance and ensure adherence to agreed-upon terms and timelines.
- Develop and manage the event budget, ensuring cost-effectiveness and adherence to financial guidelines.
- Track expenses, process invoices, and provide regular budget updates.
- Identify opportunities for cost savings and revenue generation.
- Collaborate with the marketing team to develop and implement event marketing and communication strategies.
- Provide logistical support for marketing activities, such as promotional events and media briefings.
- Ensure consistent branding and messaging across all event materials.
- Oversee all aspects of on-site event execution, ensuring smooth operations and adherence to the event plan.
- Manage event staff and volunteers, providing clear direction and support.
- Serve as the primary point of contact for on-site issues and emergencies, resolving problems effectively and efficiently.
- Coordinate registration, attendee flow, session management, and exhibitor support.
- Ensure compliance with health, safety, and security regulations.
- Conduct post-event evaluations, gathering feedback from attendees, exhibitors, sponsors, and stakeholders.
- Analyze event data and prepare comprehensive post-event reports, including successes, challenges, and recommendations for future events.
- Manage the reconciliation of event finances and vendor payments.
Qualifications and Experience:
- Bachelor’s degree in Event Management, Hospitality Management, Business Administration, Marketing, or a related field.
- Minimum of 3-5 years of proven experience in planning and managing large-scale events, preferably conferences, exhibitions, or trade shows, ideally within the African context.
- Strong understanding of the housing and construction industry in Africa is an advantage.
- Excellent project management skills, including the ability to manage multiple tasks simultaneously and meet deadlines.
- Exceptional communication (written and verbal), interpersonal, and negotiation skills.
- Strong problem-solving and decision-making abilities, particularly under pressure.
- Proficiency in event management software and Microsoft Office Suite.
- Experience in managing budgets and vendor relationships.
- Ability to work independently and as part of a team.
- Willingness to travel as required.
