We’re seeking a detail-oriented and proactive Sales Virtual Assistant to support our client’s sales and administrative operations remotely. This role involves managing schedules, maintaining records, supporting sales initiatives, and fostering client relationships.
The ideal candidate for this position is organized, adaptable, and an excellent communicator.
Success in this role requires the ability to manage multiple tasks efficiently, collaborate across departments, and complete projects with minimal supervision. A reliable internet connection and the ability to work in a dynamic environment are critical.
Duties and Responsibilities (including, but not limited to)
Team Leadership & Management
- Lead the Sales & Finance Support teams, ensuring tasks are completed on time and meet company’s quality standards.
- Assign, monitor, and follow up on tasks delegated to team members (e.g., interns, support staff, VAs).
- Host weekly team check-ins and provide performance updates to the CEO.
- Cultivate a high-performing team culture focused on accountability and excellence.
Strategic Support for the CEO
- Collaborate directly with the CEO on business strategy, including campaign planning, product launches, and client engagement strategies.
- Analyze reports and data to recommend process improvements and performance shifts.
- Conduct research and prepare briefs, slide decks, or proposals to support decision-making.
- Support strategic planning for curriculum development timelines, sales goals, and financial forecasting.
Sales & Finance Operations
- Oversee client invoicing, payment collection, and financial recordkeeping (managed by support team)
- Review and manage the sales pipeline within Go High Level, ensuring lead tracking, tagging, and pipeline stages are accurate and up to date
- Maintain and update Go High Level (GHL) CRM, including contact organization, automations, workflows, triggers, and pipeline tracking.
Review sales dashboards, KPIs, and lead tracking; suggest ways to improve conversions through pipeline optimization.
- Set up and maintain workflows, automations, triggers, and nurture sequences in Go High Level to support lead conversion and client communication
- Audit CRM entries regularly to ensure data accuracy and integrity
- Guide the creation of sales presentations, product pricing updates, and lead generation campaigns Ensure lead magnets, CRM tags, and email sequences are updated and aligned with sales goals.
High-Level Administrative Coordination
- Act as the CEO’s executive gatekeeper: scheduling, filtering requests, prioritizing tasks.
- Ensure administrative operations are seamless by delegating tasks effectively to team support.
- Draft high-quality communications, proposals, contracts, and reports as needed.
- Keep company documents, trackers, and SOPs organized and accessible.
Additional Expectations/Qualifications
- Bachelor’s Degree preferred
- 3+ years of experience managing a team or department (virtual or in-person)
- 2+ years of experience in administrative support, project management, or virtual assistance
- Proficient in Go High Level, Wix, Zapier, Manychat, Meta Business Suite, Facebook Professional Dashboard, IG Professional Dashboard, IG Shop
- Strong proficiency with G Suite, Google Calendar, Slides, Does, and Sheets Strong proficiency with project management tools – Asana
- Strong proficiency with communication tools – Slack & Zoom
- Experience building funnels with paylinks, forms, and landing pages
- Experience managing virtual teams and campaign dashboards
- Proficient in CRM management, pipeline tracking, workflow automation, trigger setup, and campaign flows
- Understanding of sales pipeline architecture, including lead qualification, warm lead conversion, and post-sale workflows
- Exceptional organizational, communication, and leadership skills
- Proactive, self-starter mindset with strong follow-through
- Comfortable leading a team and managing up to the CEO

This is a Remote position, 40hrs a week
- Must be available to meet during Eastern Standard Time business hours

Pay is 300k-500k depending on skills and experience
