PROCUREMENT ASSISTANT

Job Description:

This role is essential for maintaining the efficiency and accuracy of purchasing operations and ensuring the organization’s procurement policies and procedures are followed.

Key Responsibilities:

  • Assist in sourcing suppliers and obtaining quotations.
  • Prepare and process purchase orders and requisitions.
  • Track orders and ensure timely delivery of goods and services.
  • Maintain procurement records, including vendor information, pricing, and product availability.
  • Support in negotiating terms with suppliers under the guidance of the Procurement Manager.
  • Communicate with internal departments to identify purchasing needs.
  • Ensure compliance with company procurement policies and procedures.
  • Assist in evaluating vendor performance and maintaining approved supplier lists.
  • Help with inventory tracking and stock level assessments.
  • Coordinate with accounts and logistics departments regarding invoices and deliveries.

Qualifications and Skills:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Supply Chain Management, or related field preferred.
  • Prior experience in a procurement or administrative role is an advantage.
  • Basic understanding of procurement processes and supply chain operations.
  • Proficiency in Microsoft Office Suite (especially Excel) and familiarity with procurement software.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and ability to handle multiple tasks efficiently.

Working Conditions:

  • Office-based role with standard working hours.
  • May require occasional travel or visits to supplier locations or warehouses.
