Job Description:

The Inventory Clerk at Dailies Mart is responsible for tracking and maintaining stock levels to ensure efficient store operations. This role involves recording inventory movements, updating stock records, conducting stock counts, and assisting in restocking and inventory organization. The Inventory Clerk works closely with the Inventory Supervisor, Store Manager, and Warehouse Team to ensure accurate stock levels and prevent shortages or overstocking.

This role is essential in preventing inventory discrepancies, reducing waste, and improving stock efficiency. The ideal candidate must be detail-oriented, organized, and proactive in monitoring inventory accuracy.

Key Responsibilities

1. Inventory Control and Stock Management

  • Track all stock movements both incoming and outgoing and update records in the inventory management system.
  • Receive and verify deliveries from suppliers, checking for discrepancies in quantity or damage.
  • Ensure proper stock labeling, including product codes, expiration dates, and storage conditions.
  • Assist in stock transfers between stores or warehouse locations as needed.
  • Monitor slow-moving, damaged, or outdated stock and report issues to the Inventory Supervisor.

2. Stock Auditing and Reconciliation

  • Conduct daily, weekly, and monthly stock counts to verify physical inventory.
  • Compare actual stock levels with system records and identify discrepancies.
  • Investigate and report inventory variances, such as losses, misplacements, or theft.
  • Assist in cycle counting processes to maintain accurate inventory records.

3. Restocking and Inventory Optimization

  • Monitor inventory levels and notify the Inventory Supervisor when stock replenishment is needed.
  • Ensure stock is arranged using FIFO (First-In, First-Out) and FEFO (First-Expiry, First-Out) to prevent waste.
  • Maintain well-organized storage areas, ensuring easy retrieval and tracking of stock.
  • Assist in stock rotation strategies to optimize product placement and avoid overstocking.

4. Supplier and Logistics Coordination

  • Assist in verifying supplier deliveries, ensuring they meet quality and quantity expectations.
  • Report discrepancies or damaged goods immediately to management.
  • Work closely with the logistics team to track incoming and outgoing stock shipments.
  • Maintain accurate records of purchase orders, delivery notes, and supplier transactions.

5. Compliance and Risk Management

  • Ensure all inventory handling follows company policies and retail industry standards.
  • Implement security measures to prevent theft, fraud, or stock mismanagement.
  • Keep detailed and accurate documentation for audits and compliance checks.
  • Follow all health and safety guidelines for proper stock storage and handling.

6. Inventory Reporting and Documentation

  • Maintain accurate stock records, including receipts, transfers, adjustments, and disposals.
  • Generate inventory reports for management review, detailing stock levels, shortages, and trends.
  • Track fast-moving and slow-moving products, providing insights to optimize purchasing decisions.
  • Assist in preparing monthly inventory performance reports for stock analysis.

7. Customer and Store Support

  • Assist sales and store teams by ensuring high-demand products are always available.
  • Quickly retrieve and replenish stock for floor displays and shelves.
  • Respond to customer inquiries regarding product availability and restocking schedules.

Skills and Qualifications

Education & Experience:

  • Minimum SSCE / OND / HND / Bachelor’s degree in Business, Supply Chain, or a related field.
  • 1-2 years of experience in retail inventory management, warehousing, or stock control.
  • Experience in fast-moving consumer goods (FMCG) or retail industry is an advantage.

Technical Skills:

  • Basic knowledge of inventory management software (or willingness to learn).
  • Strong attention to detail and ability to record stock accurately.
  • Ability to use Microsoft Excel, Google Sheets, or other data-entry tools.
  • Understanding of FIFO and FEFO stock rotation methods.
