Roles & Responsibilities of a Front Desk Officer1. Reception & Customer Service
- Greet visitors and direct them appropriately.
- Answer phone calls, emails, and inquiries professionally.
- Provide information about the company’s services and policies.
- Handle complaints and escalate issues when necessary.
2. Administrative Duties
- Maintain records and databases (e.g., visitor logs, appointments).
- Manage office supplies and ensure the front desk is well-organized.
- Schedule meetings, appointments, and conference room bookings.
- Assist in document preparation and data entry.
3. Communication & Coordination
- Act as a point of contact between employees, clients, and management.
- Relay messages accurately and timely.
- Coordinate deliveries, mail, and courier services.
- Assist with event planning or administrative projects when needed.
4. Security & Access Control
- Monitor and control access to the office premises.
- Issue visitor passes and ensure guests comply with security protocols.
- Notify security personnel of any suspicious activities.
5. Technical & System Support (if applicable)
- Operate office equipment (fax machines, printers, copiers).
- Use software for scheduling, communication, and data management.
