Job Description:
We are seeking a highly organized and proactive Executive Assistant to support the Managing Director of our dynamic interior design business. The ideal candidate will be a detail-oriented professional with excellent communication skills, a strong ability to multitask, and experience handling confidential and high-level administrative duties. This role requires a strategic thinker who can anticipate needs, streamline operations, and enhance productivity for the Managing Director.
Key Responsibilities
Executive Support
- Manage and coordinate the Managing Director’s schedule, appointments, and travel arrangements.
- Serve as the primary point of contact between the MD and clients, vendors, and team members.
- Draft, review, and manage emails, reports, presentations, and correspondence.
- Conduct research and prepare briefs for meetings, ensuring the MD is well-prepared.
- Handle confidential documents with discretion and professionalism.
Project & Operations Support
- Assist in managing key interior design projects by coordinating with designers, suppliers, and contractors.
- Track project timelines, budgets, and deliverables, ensuring alignment with the MD’s objectives.
- Prepare and maintain client proposals, contracts, and presentations.
- Ensure office operations run smoothly, including liaising with administrative and design teams.
Client & Vendor Relations
- Maintain strong relationships with high-end clients, suppliers, and business partners.
- Arrange client meetings, follow up on action points, and ensure seamless communication.
- Assist in the planning and execution of industry events, trade shows, and networking engagements.
Financial & Administrative Support
- Assist with budgeting, invoicing, and expense tracking for the MD’s projects.
- Handle procurement tasks, liaising with suppliers for pricing, quotes, and deliveries.
- Maintain an organized filing system (both digital and physical) for business and project-related documents.
Skills & Qualifications
- Bachelor’s degree in Business Administration, Interior Design, or a related field preferred.
- 3+ years of experience as an Executive Assistant, ideally in the interior design, architecture, or luxury retail sector.
- Exceptional organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
- Ability to work in a fast-paced, creative environment and adapt to changing priorities.
- A keen eye for design and an understanding of interior business operations is a plus.
