Job Description:

Key Responsibilities:

  • Calendar and Scheduling Management:Organizing and managing the executive’s schedule, including appointments, meetings, and travel arrangements.
  • Communication and Correspondence:Handling incoming and outgoing communications, prioritizing emails and phone calls, and drafting correspondence.
  • Meeting Coordination:Arranging meetings, preparing agendas, taking minutes, and following up on action items.
  • Travel Arrangements:Booking flights, hotels, and other travel arrangements for the executive.
  • Document Management:Creating, organizing, and maintaining documents, reports, and presentations.
  • Office Management:Handling office tasks, such as ordering supplies, managing filing systems, and maintaining a professional workspace.
  • Special Projects:Assisting with special projects, research, and analysis as directed by the executive.
  • Confidentiality:Maintaining confidentiality with all sensitive information and documents.
  • Liaison:Acting as a liaison between the executive and internal/external stakeholders.
  • Process Improvement:Identifying and implementing improvements to administrative processes and systems.

Skills and Qualities:

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong attention to detail and accuracy.
