Job Description:

Key Responsibilities:

  • Office Management: Oversee daily office operations, including maintaining office supplies, managing office equipment, and ensuring a clean and organized workspace.
  • Calendar and Travel Management: Coordinate and schedule meetings, appointments, and travel arrangements for the team, ensuring all logistics are taken care of.
  • Document Management: Prepare and edit documents, reports, presentations, and correspondence as required. Maintain and organize files, both physical and digital, for easy access.
  • Communication: Serve as the first point of contact for visitors, clients, and internal teams. Handle phone calls, emails, and other communication in a professional and timely manner.
  • Data Entry and Reporting: Assist with data entry, managing databases, and generating reports for management.
  • Event Coordination: Assist in planning and coordinating company events, meetings, and other activities.
  • Support HR and Finance Departments: Assist with HR-related tasks such as employee onboarding, maintaining personnel records, and supporting payroll processes. Help finance with invoicing, expenses, and basic accounting tasks as needed.
  • General Administrative Support: Provide administrative support to the leadership team and other departments as necessary, ensuring efficient operations and workflow.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Strong attention to detail, accuracy, and a proactive approach to problem-solving.
  • High school diploma required; a degree in Business Administration, Management, or a related field is a plus.
