ADMINISTRATIVE ASSISTANT

Job Description:

We are seeking a highly capable and organized Administrative Assistant to provide comprehensive support across administrative and operational tasks. This role requires a smart, proactive individual with strong data handling and file management skills, excellent communication, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

  • Organize and maintain physical and digital filing systems for easy retrieval and security
  • Manage and update internal databases, spreadsheets, and other records with high attention to accuracy
  • Draft, format, and proofread correspondence, reports, and presentations
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Track deadlines, follow up on outstanding tasks, and prepare status updates as needed
  • Handle confidential information with integrity and discretion
  • Conduct basic research and prepare briefing materials
  • Support administrative processes such as expense tracking, documentation, and inventory
  • Liaise professionally with internal teams and external stakeholders

Requirements:

  • Bachelor’s degree in Business Administration or equivalent with NO MORE THAN 3 YEARS of work experience in administrative duties.
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
  • Demonstrated ability to manage data and files with precision
  • Excellent written and verbal communication skills
  • Tech-savvy, fast learner, and able to adapt to new tools or systems quickly
  • Discreet, trustworthy, and capable of managing sensitive information
  • Strong problem-solving mindset and critical thinking skills

Preferred Qualities:

  • Experience working in a dynamic, high-level support role
  • Familiarity with productivity tools like Notion, Trello, or similar platforms
  • Ability to anticipate needs and take initiative without constant supervision
