ADMINISTRATIVE ASSISTANT

Job Description:
We are seeking a highly capable and organized Administrative Assistant to provide comprehensive support across administrative and operational tasks. This role requires a smart, proactive individual with strong data handling and file management skills, excellent communication, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
- Organize and maintain physical and digital filing systems for easy retrieval and security
- Manage and update internal databases, spreadsheets, and other records with high attention to accuracy
- Draft, format, and proofread correspondence, reports, and presentations
- Schedule and coordinate meetings, appointments, and travel arrangements
- Track deadlines, follow up on outstanding tasks, and prepare status updates as needed
- Handle confidential information with integrity and discretion
- Conduct basic research and prepare briefing materials
- Support administrative processes such as expense tracking, documentation, and inventory
- Liaise professionally with internal teams and external stakeholders
Requirements:
- Bachelor’s degree in Business Administration or equivalent with NO MORE THAN 3 YEARS of work experience in administrative duties.
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace
- Demonstrated ability to manage data and files with precision
- Excellent written and verbal communication skills
- Tech-savvy, fast learner, and able to adapt to new tools or systems quickly
- Discreet, trustworthy, and capable of managing sensitive information
- Strong problem-solving mindset and critical thinking skills
Preferred Qualities:
- Experience working in a dynamic, high-level support role
- Familiarity with productivity tools like Notion, Trello, or similar platforms
- Ability to anticipate needs and take initiative without constant supervision
