Job Description:

We are seeking a highly organised and proactive Admin Executive to oversee and manage daily administrative operations. The ideal candidate will be responsible for ensuring smooth office functions, coordinating activities, and supporting staff.

Key Responsibilities

· Oversee procurement and inventory management for office supplies.

· Oversee administrative support for all stakeholders, including travel arrangements and document preparation.

· Develop and implement strategies for cost management develop and implement strategies to improve administrative operations, reduce costs, and increase efficiency.

· Identify opportunities to improve processes and procedures within the department, such as identifying inefficiencies, developing solutions, and implementing improvement strategies.

· Formulate and implement departmental processes, policies, and procedures that ensure operational efficiencies and maximise output.

· Provide leadership and direction to administrative staff to motivate and strengthen individual and team performance, and mentor admin staff for capacity development.

· Provide regular reports and analysis of administrative operations to senior management for informed decision making.

· Develop and maintain relationships with external stakeholders, such as vendors, contractors, and regulatory agencies.

· Measure and evaluate the performance of the admin staff and its programs, using the information to make improvements and adjustments as necessary.

· Develop and monitor inventory control procedures and monitor inventory of office supplies and purchase of new material with attention to budgetary plans.

· Assist in budget preparation and expense tracking.

· Enhance the operational procedure, systems, and principles in the areas of information flow and management, admin processes, enhance management reporting and looks for opportunities for improved operation.

· Supervise the day-to-day operations of the administrative department and staff members.

· Manage overall admin operations including day-to-day requests, tasks, procurement, assets, deliveries, facility management and custodial services.

Qualifications

· Bachelor’s degree in Business Administration, Human Resources, Management, or a related field.

· 5-8 years of experience in administrative, HR, or executive support roles, preferably in the oil & gas or technology sector.

· Experience working with administrative tools or HR software is an added advantage.

· Professional Certification such as CIA, IPMA, NIM or any other relevant professional certification.

Required Skills

· Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and administrative software.

· Strong problem-solving skills and a proactive approach to work.
